Customer Service
Our customer service representatives are available Monday- Friday 09:00-17:00 via telephone or alternatively we are available via email 24 hours a day.
Administrative/ Secretarial Service
Our administrative duties vary dependent upon the requirements of your specific block, generally including the following
- Act as company secretary
- Provision of a registered office address
- Maintaining statutory books, including registers of members, directors and secretaries
- Secure storage of statutory company files
- Attend AGM’s with directors
- Monitoring changes in relevant legislation and the regulatory environment and taking appropriate action
- Develop and oversee the compliance of the company in addition to ensuring it adheres to its legal and statutory requirement
- Liaise with external regulators and advisers, such as solicitors, accountants, auditors and all third party contractors.
- Share Certificate administration
Assistance and advice
We are able to assist in the setting up the property management for new developments and company name changes.
Finance management
All service charges and management fee’s received on behalf of your management company are deposited within a bank account specifically assigned to your block.
Accounting
Management accounts will be reconciled by a qualified accountant prior to the end of every financial year and ahead of your blocks AGM.
Third party Contractors
All third party contractors are vetted prior to attending site to ensure they carry the correct level of Public Liability and Professional Indemnity Insurance as well as meeting our levels of expectation. Third party contractors will be required to carry out written risk assessments prior to undertaking any tasks that may negatively impact individuals, assets, and/or the environment.
Site Inspections
We carry out routine site inspections, ensuring should we identify any areas needing attention these are followed up without delay with respective contractors, in order that the block is maintained to the client’s satisfaction.
Fire System Testing and Servicing
Along with Fire Risk Assessments we organise for Fire alarm testing and servicing to ensure that your fire alarm system is kept up to date and working as efficiently as ever.
Our suitably experienced and qualified contractor undertaking Fire alarm maintenance to BS 5839 Part 1 (2017) to ensure any problems you might encounter are eradicated and fixed to the highest standard.
EIRC Testing
‘Electrical Installation Condition Report’ (EIRC) will be organised and carried out in accordance with BS 7671.
Sedum/Green Roof Servicing
In order to retain your sedum/green roof in perfect condition we organise semiannual maintenance to your specification.
Complaints procedure
Our aim is to provide a professional service in a fair and transparent manner however we understand on occasion complaints can sometimes arise.
As members of The Property Ombudsman, Grace and Edward Ltd follow the guidance and recommendations as set out in their compliance procedures along side our in-house complaints department.
